Privacy Policy
This page tells you exactly what this site stores about you, why it stores it, who else can see it, and how to make us delete it.
The short version
- We store the minimum needed to run a roster, an events board and a waitlist.
- We do not sell, rent or trade anything about you. Not to anyone, not ever.
- No advertising, no ad pixels, no Google Analytics, no third party trackers.
- We never see your Discord password, and we never see your service documents.
- Ask us to delete your record and we delete it. No hoops.
The rest of this page is the long version, so you can check our work.
What we store, and when
Nothing here is collected in the background. Every item below exists because you typed it, or because you chose to connect an account.
If you join the waitlist: your email address, and anything optional you fill in (Discord handle, callsign, background, platform, games you play). We also store the referral code you were given, the code of whoever referred you, and a one way hash of your IP address. The hash is used to stop one person from flooding the list. It cannot be turned back into your address.
If you sign in with Discord: your Discord user ID, your Discord username and your avatar reference. That is what Discord hands us. We do not receive your password, your email, your friends list or your messages.
Your member card: your callsign plus whatever you choose to add (bio, games, platform, background). Your RSVPs, your Elo and your ops count come from using the site.
If you ask to be verified as a service member or first responder: we store the branch or department you picked, the status you picked, and the short note you wrote about how we can confirm it. That note is free text you write yourself. This website will not accept a document and has nowhere to put one: never send us a DD-214, an ID card or any other record through it. If a moderator needs more than your note, they will ask you in Discord, and that conversation stays in Discord. Once approved we store the resulting label, for example Army Veteran, and the date.
If you message us through a form on the site: your name, the contact address you give us, and your message.
Server logs: our web host keeps standard access logs (IP address, timestamp, page requested, browser) the way every web server does. They are used for security and troubleshooting and they roll off on the host's schedule.
What we do not do
- No advertising and no ad networks. There are no ad pixels on this site. Sponsor logos are plain links we placed by hand, not an ad network.
- No Google Analytics, no Meta pixel, no session recording, no heatmaps.
- No selling, renting, licensing or trading your information.
- No fingerprinting and no location tracking.
- No cross site tracking cookies.
- No marketing email beyond messages about this community that you asked for.
Who else touches your information
- Discord, if you choose to sign in with it. Discord's privacy policy governs what Discord does, including anything you send a moderator there.
- Twitch and YouTube, only to check whether a listed creator is live. We send them a channel name, nothing about you.
- Our web host, because the site and database live on their servers.
That is everyone. No advertisers, no data brokers, no partners, no affiliate networks. If a valid court order or subpoena ever required us to hand something over, we would comply with it and, where the law allows, tell you.
How long we keep it
- Member records: until you ask us to delete them, or until we remove you from the community.
- Waitlist entries: until launch plus twelve months, or until you ask to come off the list.
- Verification status: for as long as you hold the role in Discord. Lose the role and it clears itself.
- Messages you send us: up to twenty four months.
- Server logs: whatever our host's rotation is, typically a few weeks.
Deleting your account
Message us at our Discord server with the words "delete my account" and the callsign or email on the record. We remove it and confirm when it is done. Backups roll off within thirty days after that.
Verification clears itself: drop the role in Discord and the next time you sign in the badge and the stored affiliation go with it.
Security
We never handle your password. Sign in goes through Discord, so there is no password of yours for us to lose.
The site runs over HTTPS. The database is not reachable from the public internet. Only site admins can view member records, and admin access is tied to Discord accounts we control.
No system is perfect. If we ever suffer a breach that affects your information, we will tell you and say plainly what happened.
Age
You must be at least 13, or the minimum age Discord requires in your country if that is higher, to have an account here. We do not knowingly keep information about anyone younger. If you believe a child has signed up, tell us and we will delete the record.
Your rights
Wherever you live, you can ask us what we hold about you, get a copy, correct it, or have it deleted. Message us and we will do it. There is no fee, no verification maze and no retention offer.
If you are in California, the EU, the UK or anywhere else with specific privacy laws, those rights are covered by the sentence above. We do not treat anyone differently for exercising them, and we have no financial incentive to keep your data because we do not monetize it.
Changes
If this policy changes, the date at the top changes with it. For anything material we will post a notice on the site and in Discord instead of quietly editing the page.
